Operations & Resource Manager
Advertised Salary: $45,000+ DOE
Summary:Column5 Consulting, based in Scottsdale, AZ is seeking a full time Operations Coordinator for our global headquarters. There will be several simultaneous projects, so an individual with the ability to work independently, with ambitious personal goals, excellent time management skills and the ability to multi-task, will excel. Demanding deadlines and a global environment require a willingness to work diligently, honestly, quickly and accurately, while remaining flexible to meet fluctuating demands.
This position will handle the CRM, technical recruiting, resourcing, project scheduling and sales response operations in support of multiple departments of our global organization. This position requires a highly organized, experienced, meticulous individual who can manage competing time demands, juggle multiple priorities and deliver proven results while maintaining an enthusiastic and positive attitude.
The ideal candidate should possess the following:
• Fluent knowledge of CRM systems such as Microsoft Dynamics CRM
o High degree of personal responsibility for data quality and integrity
o Advanced knowledge of integrating MS Dynamics with other software such as Projector, etc.
o Ability to produce reports from such systems on forecasts, contact activities and more
• Strong proficiency in Microsoft Outlook, Excel, Word, SharePoint, PowerPoint, etc. and in integrating CRM with these programs as necessary.
• Ability to use online recruiting and interview tools, including LinkedIn, Online HR systems, as well as Outlook to schedule interviews with hiring managers located around the world.
• Familiarity with project scheduling and planning software, as well as resource leveling tools - Projector familiarity a plus.
• Demonstrated ability to develop and produce relevant reports, in a timely manner, from multiple software, process and department sources.
• Proven expertise in coordinating and managing on-going projects such as employee recruiting and sales proposal responses.
• Highly developed and creative interpersonal, communication and negotiation skills.
• Entrepreneurial attitude: Own and be proud of your responsibilities from database cleaning to operational reporting.
• Previous experience in a global, technology, and/or professional services environment is desired.
Job Responsibilities include but are not limited to:
• Ensuring timely flow of necessary information to/from worldwide locations to applicable software programs including CRM, Projector and independent data collection and process management sources as necessary to produce operational management reports.
• Management of the resourcing function, including but not limited to maintaining accurate resource schedules, performing technical recruiting to fill internal vacancies and maintaining external contractor relationships.
• Assisting our sales division with the coordination of the RFP process for timely submission.
• Re-work, improve and expand existing processes and reporting to meet the needs of relevant stakeholders from multiple departments and global regions.
• Handles details of highly confidential and critical nature, and must function honestly, efficiently and effectively in a fast-paced environment.
Job Requirements
Position Requirements:
• 3 years Operations experience and/or administration experience with relevant software tools (MS CRM, recruiting tools, and project scheduling systems) or equivalent experience a must.
• Prior experience working with senior level management and the ability to recognize the necessity for professionalism, integrity and confidentiality.
• Proven experience successfully managing multiple on-going projects; ability to modify processes quickly, in a collaborative, relevant and responsible manner.
• Outstanding verbal and written communications skills.
• Demonstrated initiative and ability to work in a fast-paced, changing environment.
• Proven ability to work both independently and with a team.
• Ability to build and maintain outstanding relationships in a virtual environment.
• Outstanding organizational, responsible decision making and problem solving skills.
• Flexibility and adaptability to changing working conditions based on priorities.
• Perform other duties and projects as assigned which may include lifting and moving file boxes, organizing and stocking office supplies.
